GENERAL CONDITIONS

LOCATION: Darmstadt

CONTRACT: 18 Months (extension may be possible)
WORKING LANGUAGE: English (German and French is considered an advantage)

MUST-HAVE SKILLS/MANDATORY

The Communications and Events Assistant shall possess the following skills / experience:
• Demonstrable solid administrative experience;
• Proven experience in the organisation of external events – minimum 3 years;
• Excellent written and spoken English, good knowledge of German and French would be an advantage;
• Interpersonal skills to liaise with a range of internal and external contact persons;
• Good knowledge of MS Office especially Excel;
• Experience with Document Management Systems would be considered an advantage;

Responsibilities

The main duties of the position are as follows:
Support the organisation of the launch events for the Metop-C and Sentinel 3B satellites:
• Coordinate the event programme and ensure it fits with the run-down schedule from the launch company;
• Liaise with internal and external event speakers;
• Coordinate the mailing of invitation letters to event attendees (supported by the SCIR secretariat) and make registration arrangements via an online registration tool;
• Liaise internally with the General Services Division (GES) on technical elements for launch events and catering;
• Undertake other administrative/organisational tasks such as travel planning for and coordination of external guests.
• Other communications and event support including Copernicus:
• Support the preparation of other conferences and exhibitions if and when required. The main tasks will be of an organisational/administrative nature.
• Provide support to press events if needed;
• Provide support with regards to media liaison if needed;
• Provide any necessary support with regards to the organisation of visitor groups.
